Job Description

As a Customer Service Representative you will book new registrations, make ups, create and update master lists, help to maintain a clean and comfortable environment for patrons, answer & return client calls as well as emails along with other administrative tasks.

 

ROLE AND RESPONSIBILITIES

  • Maintain an upbeat and friendly attitude at all times
  • Provide exceptional customer service to every family we serve
  • Work Cohesively with All Team Members
  • Execute daily administrative duties as necessary including telephone, e mail, filing and customer service duties
  • Assist new Clients with Creating Accounts & Reviewing Our Policies/Procedures
  • Assist with making & moving registrations as needed
  • Take payments and address outstanding balances
  • Handle class Requests on iClass (class management software)
  • Note Instructor Requests from parents on student profiles/notes
  • Contact Families on Waitlist when Openings Become Available
  • Input Notes in Family Account
  • Pulling Students w/Outstanding Balances Prior to the Session Starting
  • Process and Complete All Credits (on I class)  as needed
  • Update Master lists including levels, first day, repeating a level etc
  • Oversee student absences and follow up with families who have missed multiple classes in a row
  • Help to book makeup classes
  • Log and Handle any negative feedback or concerns and address with Management
  • Follow up with Clients to Ensure They are Happy with Service
  • Assist & Resolve any Client Issues that may arise
  • Use All Available Resources to Give Parents Information on Upcoming Events
  • Keep the Training Material & Front Desk Manual up to date and add material when needed
  • Stay up to date with changes and updates from class management software (I Class)
  • Build out sessions and classes quarterly (Fall, Winter, Spring, Summer)
  • Ensure changing room and viewing area is kept clean and tidy
  • Direct Customers to where they need to go for Classes

 

Required Qualifications

Ideal candidates will have:

  • High school diploma, GED or an equivalent
  • Strong communication skills
  • The ability to work evenings and weekends
  • Proficiency with Google Docs and Sheets
